1. Agreement
These terms apply to the website odenteq.com, the OdenteQ software at app.odenteq.com, clinic websites we host, and any service we provide with them (together, "OdenteQ"). By using OdenteQ, or by signing up a clinic, you agree to these terms. If you sign up for a clinic, you confirm you are allowed to accept them for that clinic.
A signed order or quote between OdenteQ and a clinic (for price, plan, add-ons and term) is part of these terms. If they differ, the signed order wins.
2. The service
OdenteQ is cloud software for running a dental clinic: appointments, front desk, charting, patient records, billing, commissions, stock, reports, and optional add-ons such as a clinic website with online booking and an AI assistant. It runs in a web browser and needs an internet connection. We may improve, change or remove features over time. We will not remove a core feature a paying clinic relies on without reasonable notice.
3. Accounts
- The clinic owner or administrator creates staff accounts and chooses each person’s role and permissions.
- Each person must use their own login and keep their password secret. Do not share accounts.
- The clinic is responsible for what its staff do in OdenteQ and for removing access when someone leaves.
- Tell us at once at hello@odenteq.com if you think an account was misused.
4. Clinic responsibilities
OdenteQ is a management tool. It does not give medical advice and does not replace professional judgement. The clinic is responsible for:
- the medical and dental care it gives, its diagnoses, treatment plans and prescriptions, including checking any default medicines, doses or directions before using them;
- the accuracy of what it records;
- having a lawful basis, and patient consent where required, to record and use patient data, photos and messages;
- following the laws that apply to it (medical records, data protection, tax, advertising);
- the content of its clinic website, including prices, offers, before and after photos and reviews it publishes.
5. Acceptable use
Do not:
- break the law or anyone’s rights with OdenteQ;
- send spam or unwanted messages to patients through OdenteQ or WhatsApp;
- try to reach another clinic’s data, test our security without written permission, or overload the service;
- copy, resell or reverse engineer the software;
- upload malware or content that is illegal or harmful.
We may suspend access that puts the service, other clinics or patients at risk. We will tell you why, unless the law prevents it.
6. Price and payment
- Prices depend on the clinic’s size and the add-ons chosen, and are agreed in a quote or order.
- Subscriptions are paid in advance for the agreed period (monthly, quarterly or yearly).
- A trial, if offered, ends on the date shown. After that the clinic must pay to keep using OdenteQ.
- If payment is late, we will remind you. If it stays unpaid, we may pause the account until it is paid. Your data is kept safe during a pause.
- We may change prices for the next period with at least 30 days’ notice.
7. Your data
- The clinic owns its data. We use it only to provide OdenteQ, as described in our privacy policy.
- The clinic can export its data at any time.
- When a clinic leaves, it can export its data, and we delete it within 90 days after the account closes, unless the clinic asks for earlier deletion or the law requires otherwise. See our data deletion page.
- We may use anonymous, combined figures that do not identify any clinic, patient or person (for example the total number of appointments booked through OdenteQ) to run and improve the service.
8. Third-party services
Some features use other services, such as WhatsApp, Google Maps, e-mail providers or AI model providers. Their own terms apply to them, and we are not responsible for their outages or changes. WhatsApp messages are sent from the clinic’s own number or account.
Messaging patients. When a clinic sends or receives messages through OdenteQ or through a messaging app linked to it (for example WhatsApp), the clinic must also follow that platform's terms and business policies. In particular the clinic must:
- message only patients who gave their number to the clinic and agreed to receive messages from it;
- use messages for the patient's care and bookings (confirmations, reminders, changes, follow-up), not unrelated promotion without the patient's separate agreement;
- stop messaging a patient who replies STOP or asks to stop;
- not send sensitive identity numbers, card details or full medical records by message unless the patient asked and the law allows it;
- keep the clinic's business profile on each platform accurate, with its real name and contact details.
We may limit or pause messaging for a clinic that breaks these rules or if a platform asks us to.
9. Availability and support
We work to keep OdenteQ available at all times, but there will be planned maintenance and occasional problems outside our control (for example internet or provider outages). We provide support in Arabic and English by e-mail and WhatsApp during working hours.
10. Our intellectual property
OdenteQ, its software, design, logo and content belong to us. We give the clinic the right to use OdenteQ during its subscription, for its own clinic. Suggestions you send us may be used to improve OdenteQ without any obligation.
11. Liability
- We provide OdenteQ with care and skill, but "as is", without promising it will be free of every error.
- We are not liable for medical decisions, for indirect losses, lost profits or lost revenue, or for problems caused by the clinic’s devices, internet, staff or third-party services.
- Our total liability for any claim is limited to the amount the clinic paid us in the 12 months before the claim.
- Nothing in these terms limits liability that cannot be limited by law.
12. Ending the service
- A clinic can stop its subscription at the end of any paid period by telling us.
- We may end the service for a serious breach of these terms that is not fixed within 14 days of notice, or at once if the law requires it.
- After the end, the clinic has time to export its data before deletion (section 7).
13. Changes to these terms
We may update these terms. We will change the date at the top and tell clinic owners by e-mail at least 30 days before important changes apply. Continuing to use OdenteQ after that means you accept them.
14. Law and disputes
These terms are governed by the laws of the Arab Republic of Egypt. We will first try to settle any dispute by talking. If that fails, the courts of Cairo, Egypt have jurisdiction.
