WhatsApp appointment reminders for dental clinics

Link your clinic’s WhatsApp number once. OdenteQ sends the booking message and the reminder the day before, patients tap Yes to confirm, and reception only calls the few who do not answer.

  • From your clinic’s own number
  • Patients confirm with one tap
  • The calendar updates by itself
  • A WhatsApp inbox linked to each patient

Your number, linked in one minute

Open Settings, WhatsApp, press Connect and scan the QR code with the clinic phone, the same way you open WhatsApp Web. Staff keep using WhatsApp on the phone as usual. Patients see messages coming from the number they already know.

The right message at the right time

  • Booked: the day, time and doctor, a link to the appointment page and the clinic phone.
  • Booked for the evening: the patient knows the visit is registered, and gets the exact time as soon as reception sets it.
  • Moved or cancelled by the clinic: the patient is told, with the new time.
  • The day before: a reminder the patient answers with one tap, Yes, I will come or I need to change it. When Friday is closed, Saturday’s patients get it on Thursday.
  • Online bookings: received, confirmed or declined, with your note.
  • Birthdays: a short wish in the morning, only to patients seen recently.
  • Optional: a reminder a few hours before, a message after a missed visit, and a "how are you feeling" message the day after treatment.

Every message is in Arabic or English, written by you, with a live preview. Each one can be switched off.

Answers update the calendar

When the patient taps Yes, the appointment is confirmed and they get a thank you. Typed answers work too: "1", "yes", "تمام", "أيوه". I need to change it puts the appointment in Confirmations, Requests, and the patient gets the link to change or cancel and the clinic phone. STOP turns automatic messages off for that patient.

One place to confirm

Calendar, Confirmations shows the next working day: who confirmed on WhatsApp, who saw the reminder but did not answer, who asked to change, and whose number is not on WhatsApp. Reception calls only those. Online bookings and change requests are on the same page.

A WhatsApp inbox for reception

Every chat with the clinic number is in OdenteQ, next to the patient file, live. Reception answers with text, photos or PDFs, uses quick replies for the address or booking link, and marks chats as done. Messages typed on the clinic phone show up too.

The appointment page

Each message can carry a short link. The patient sees the appointment, confirms it, asks for another time, or cancels if your rules allow it. They can also add it to their calendar, call the clinic or get directions. No account needed.

Careful with your number

OdenteQ sends one message at a time with a short random pause and "typing" first, only within your sending hours, with hourly and daily limits and a slow start for a new number. Numbers that are not on WhatsApp are skipped. This keeps your clinic number safe.

Also from the clinic number

Prescriptions as a PDF, orders to your suppliers, and confirmations of online bookings go from the same number, and are kept in the chat.

FAQ

Questions

Do I need the WhatsApp Business API?

No. You link your clinic’s existing WhatsApp or WhatsApp Business number by scanning a QR code, like WhatsApp Web.

Can the patient confirm without calling?

Yes. The reminder has a Yes button. When the patient taps it, the appointment is marked confirmed in OdenteQ.

Will my number get blocked?

OdenteQ sends like a person does: one message at a time, with pauses, within your hours and daily limits, only to patients who have not said stop. Clinics that send reminders to their own patients this way stay well within normal use.

Is it included in OdenteQ?

It is an add-on. Ask us about it when you book a demo.
